Suggested self-care
Check each one you discussed with the client as self-care between sessions. Any combination works, and it saves with this session. Use Other to type in something not on the list. General self-care to support your adhesion release focus sessions, not medical treatment.
Edit the suggested self-care menu
Rename a checkbox, add a suggested amount or demo video link, hide one, or add your own. The Other line is always there. Changes save right away and don't affect this session or past sessions.

Add a session
Enter session measurements and notes below.
Fill in from dictation or pasted text
Tap the box, then tap the microphone on your keyboard, or paste text. Say each test name followed by its numbers, for example: "UCF pre 60 post 85. Rotate right 70 to 90. SLR left pre 40 post 70. Pain 4. Notes: tight left upper trap." Say notes last, because everything after "notes" goes into Session Notes.

How the calendar limits work
Target hours: Monday 10–3, Wednesday 10–5, Thursday 10–5, Friday 10–3 (24 hours a week). The Ashi hours allowed per week is set at the top of this tab. Time away comes from Stephanie’s Vagaro calendar.
Sessions blocked for Focus on Vagaro: how many 25-min focus sessions fit in the time reserved for Stephanie to schedule focus sessions herself (a block in Vagaro whose name starts with “Held”, for a whole day or part of a day; a whole-day block not named OFF also counts). It isn’t available online, but it counts as available time and toward focus openings.
Days off: a personal day with no appointments offered or available (a whole working day blocked in Vagaro with a name that starts with OFF, for example “OFF Florida”). The whole day comes out.
Personal time: a period during the working day when no sessions are offered because the time is used for personal tasks (any other part-day block in Vagaro). Only the hours that overlap the target hours come out.
From / To picks the months in the table (up to 24 at a time, past months included). The Total row adds up the months shown; the tracker remembers your choice on this device. Reset goes back to this month and the next 4.
Total working hours available: Stephanie’s normal hours for the month, minus days off and personal time. Bookings are not subtracted. Time blocked for Focus on Vagaro stays in. The Ashi cap and focus openings are figured from this.
Ashi hrs booked / capped: Ashi hours booked (50-min = 1 h, 80-min = 1.5 h) compared with the month’s Ashi cap, with the number of 50-min and 80-min sessions underneath. Green 0–74%, yellow 75–89%, light red 90–99%, dark red 100% or more. Can book more Ashi? says Open (4+ hours left), Almost full (1–4 hours) or Full (under 1 hour).
Focus booked / capped: focus sessions booked compared with the most that fit this month, in 25-min units (a 50-min session is 2). Underneath: how many more 25-min sessions still fit in the rest of the month.
Sessions bookable online now: how many sessions clients can still book online in Vagaro. Focus counts 25-min sessions; Ashi counts 50-min sessions (80-min if only those are open), packed into the open start times without overlapping. Focus and Ashi share the same open time, so each number is what fits if only that service were booked. A service only shows when Vagaro offers it online, so days held for focus only add to Focus. Covers as far ahead as Vagaro allows online booking. If Ashi is at its limit but Ashi still shows here, turn off online Ashi booking.
Total hrs booked (all): booked Ashi and focus hours from the last Vagaro upload, including bookings outside normal hours (counted underneath; they don’t use up working hours) (Vagaro’s API can’t list a month of appointments at once). Booked, not confirmed visits.
Turn off online Ashi lists every coming week (as far as Vagaro takes online bookings) where Ashi should no longer be bookable online: the weekly Ashi cap is reached, the week is full, or only the focus spots held for regulars are left. If Vagaro still shows Ashi start times online that week, they’re counted so you know to close them.
Focus spots to hold each week: how many 25-min focus spots (a 50-min session uses two) to keep free for regulars. Ashi room left is reduced so Ashi can’t take that time. 0 means no spots are held.
Week by week splits the chosen month into Monday–Sunday weeks, using the same rules. Weeks that cross into the next or previous month are shown in full. The weekly Ashi cap is the Ashi hours per week, lowered when the week has fewer working hours.
Only start and end times are read from Vagaro blocks, plus whether the name starts with OFF or Held. Names are never stored. Read-only: nothing is changed in Vagaro.

Coming time off
How this page works
The week runs Monday to Sunday. On Saturday and Sunday the page opens on the coming week.
Booked means booked in the Vagaro uploads, not confirmed visits. Cancelled and no-show bookings are dropped. Pending requests are listed separately.
Working hours start from the normal schedule (Mon and Fri 10–3, Wed and Thu 10–5) minus days off and personal time from the Vagaro calendar. “Held” time still counts as working time. Time off comes only from Vagaro: block the time there and the tracker picks it up at the next calendar read (nightly on the server). Dates the calendar hasn’t been read for use the normal schedule.
The Ashi cap is the Ashi hours allowed per week (set on the Calendar limits tab), lowered when the week has fewer working hours than normal.
Open focus spots are 25-min adhesion release focus sessions that still fit in the rest of the week after booked time and the remaining Ashi allowance. A 50-min session uses two spots.
The follow-up list shows focus clients whose last booking was 2 to 8 weeks ago and who have nothing booked after today.

No sessions recorded
Clients with past focus visits in Vagaro and no ROM sessions recorded in the tracker, who aren’t booked in the dates above. Most visits first.
All checked clients
You checked these clients and won’t be updating their older sessions. Past visits up to the last session date that aren’t recorded are treated as done. Visits after that date still count, so a client can come back if a later visit isn’t recorded. Change the date to adjust it; Undo puts them back on the report.
Each Vagaro name in the focus bookings is matched to a tracker client so session counts and upcoming bookings show on the right card. Pick a change in the last column, then click Save changes. Nothing changes until you save. Ashiatsu bookings aren’t listed because they don’t carry client names here.

How this report works
Value is estimated booked revenue at list prices: 25-min focus and intake $175, 50-min focus $350, Ashi 50 $250, Ashi 80 $375. It is not taken from Vagaro sales, so discounts, packages, gift cards and tips aren’t reflected.
Adhesion release focus sessions and Ashiatsu are both included. Ashi bookings saved before client names were kept (older uploads) can’t be added to a client’s value until a full-history upload fills in the names; the yellow note shows how many.
To date means bookings through today. Later bookings show under Booked ahead and aren’t in the value yet.
Counts are booked appointments from the Vagaro uploads, not confirmed visits. Cancelled and no-show bookings are dropped; pending requests aren’t counted.
Clients are matched to the tracker the same way as the booking upload. Other Vagaro names are listed as they appear in Vagaro.
History starts with the first booking in the uploads, so clients who came before that date show less value than they really have.
How this report works
Each chart shows hours booked (bars) against capacity (the line) for each month. Bars are colored by how full the month is: green 0–74%, yellow 75–89%, light red 90–99%, dark red 100% or more.
Ashi: Ashi hours booked (50-min = 1 h, 80-min = 1.5 h) against the month’s Ashi cap. The cap uses today’s Ashi hours allowed per week for every month, scaled to that month’s working hours.
Focus: focus hours booked (25-min = 0.5 h, 50-min = 1 h) against the most focus time that fits the whole month after the Ashi cap.
All bookings: Ashi plus focus hours booked against total working hours available (normal hours minus days off and personal time from the Vagaro calendar).
Months from this one on are booked so far (lighter bars) and can still fill up. Months before the Vagaro calendar starts use normal hours with no time off.
Counts are booked appointments from the last Vagaro upload, not completed visits. Pending requests and cancellations aren’t counted.
Table shows
What's counted
25-min focus: 25 minute chronic pain focus sessions plus Adhesion Release intake and first appointments.
50-min focus: 50 minute chronic pain focus sessions. Each one counts as two in Focus sessions.
Ashi 50: 50 Minute Ashiatsu Massage Stephanie. Ashi 80: 80 Minute Ashiatsu Massage Stephanie and 80 Minute Massage Stephanie.
Focus: time vs revenue: two lines, focus’s share of the month’s booked time and its share of estimated revenue. Shaded months, and the “Less time, more revenue” marker in the table, are months where focus had fewer hours than Ashi but brought in more revenue.
Months shown: pick From and to (or All, This year, Last 12 months, Last year). The table, its Total row and the graphs all cover only that range. Your choice is remembered in this browser.
Total hours: focus time plus Ashi time booked that month, using the same slot times as below.
Sessions / time: Focus combines 25-min and 50-min focus sessions; Ashi combines Ashi 50 and Ashi 80. On a computer, hover over a cell to see the split. Use Table shows: Sessions or Time to switch what each cell shows (revenue is always underneath); the choice is remembered in this browser. A 25-min focus session is a 30-minute slot; a 50-min focus counts as 2 sessions and 1 hour; Ashi 50 is 1 hour; Ashi 80 is 1.5 hours. Focus total and Ashi total add those up.
Graphs: pick Sessions, Time or Revenue from the Graph list. Each graph shows two bars a month: Focus (25 + 50 min) and Ashi (50 + 80 min). Percentages on the Sessions and Time graphs are each service’s share of that month’s booked time; on the Revenue graph, its share of that month’s estimated revenue. Time is figured using a 30-minute slot for a 25-min focus session, 1 hour for a 50-min focus or Ashi 50, and 1.5 hours for Ashi 80.
Revenue (est.): the small figure under each count is that service’s revenue for the month; the Revenue column is the month total. Prices: 25-min focus $175, 50-min focus $350, Ashi 50 $250, Ashi 80 $375 for each booked appointment (Adhesion Release intake counts at $175, 80 Minute Massage at $375). An estimate from list prices, not Vagaro sales. Pending requests aren't included.
Stephanie only. Ryan's services are never counted.
Booked, not confirmed visits. Cancelled, no-show and deleted bookings drop out. Requests waiting for acceptance show under Pending and aren't counted.
Current and future months show what's on the books so far.
